2018 Annual General Meeting of THP Owners, at the Clubhouse, Tuesday, January 8, 2019

1.  Owners, and long term tenants present:
Owners: D73, D10, D66, D59, D51, D63, D16, D35, D71, D55, D24, D48, D5, D52, D67, D17, D33, D1, D32, D82, D85, D9, D25. Tenants: D77, D72, D67.
Proxy votes: D22, D43, D39, D47, D56, D64, D26, D13, D70, D5, D12, D77, D9, D25, D72. D74, D2, D59, (Total 41 Voters).

2. Chairman’s Introduction and Report:
2.1  The Chairman thanked everyone for making the effort to attend this important meeting for owners. He also welcomed some long term tenants, who this year were invited to the meeting, although cannot vote themselves, but can carry proxy votes on behalf of up to 3 owners.

2.2  The Chairman made reference to some important items in his report – rather than read it through. He first mentioned the re-roofing of the clubhouse, pointing out that the contractor who was appointed and reported at the last AGM, withdrew his contract. We therefore had to do another tendering process, ably managed by our Treasurer Ana, who he thanks for her hard work and diligence during the project. He pointed out that some issues have arisen since completion of the project, and these are being addressed by SCG, the main suppliers of materials. This is also being managed by Ana.

2.3  Another significant project managed by Ana is the retrieval of the 174kbt owed us by Thanathart Bank, in respect of D19, now owned by that bank. Ana has spent many hours negotiating with bank managers and lawyers involved. 2.4 His report listed the several contracts which need renewal each year, or every other year. He highlighted that the gardener’s monthly pay has been increased from 10k to 11kbt. Also the cleaner of the pool area – Chaloor’s wife Bangon, has been given an increase of 500bt on her previous 1kbt monthly pay, in recognition of excellent work.

2.4 His report listed the several contracts which need renewal each year, or every other year. He highlighted that the gardener’s monthly pay has been increased from 10k to 11kbt. Also the cleaner of the pool area – Chaloor’s wife Bangon, has been given an increase of 500bt on her previous 1kbt monthly pay, in recognition of excellent work. It was pointed out that our Security Contract is with TU Phunsup – not WIPA. The change is only because the father handed over the business to his son, who renamed it. Security personnel remain the same.

2.5  The Chairman referred to a list of 17 improvements or remedial work undertaken by the Committee this year, He made special reference to the garden surrounds to the clubhouse, which Anders and Ana put in place. Also the fact that Lennart had relocated all the strays and feral cats which were causing concern at THP. Lennart also provided a “snake catching stick”, which is available for owners’ use from the security hut.

3.  Road Maintenance:
Reference was made to the condition of the roads in THP. At the last AGM this issue was raised and we stated that a quotation had been accepted for this work. However, the contractor changed his mind after doing a more complete survey. The work required is significant, including filling large holes with concrete and doing remedial work on all roads in THP. We are seeking a contractor who has experience in this work, We have budgeted 150kbt, but hopefully, the actual cost will be lower.
The Chairman emphasised how important it was to do this work soon, as the roads are being undermined by stormwater, and will eventually collapse.

4.  Planned Improvements:
There are no significant improvements planned for 2019, other than completing the Clubhouse roof, and repairing the roads. General maintenance will, of course, continue through the year.

5. Financial Status:
Ana and Peter presented the Financial Report for 2018, and the Budget for 2019.
The two most significant expenditures in 2018 were the re-roofing of the Clubhouse, at 598,132 bt, and the Security service at 522,000 bt. There was a total expenditure of 1,607,900 bt.
Income for 2019 is expected to be 1,640,00 bt from maintenance fees, plus 174,500 bt from the bank in relation to their ownership of D19.
A further 654,463 bt was carried forward on December 31, 2018, making the total income for 2019 of 2,613,000 bt.
Budgeted expenditure includes an estimated 150,000 bt for completion of the Clubhouse roof and 150,000 bt for the repair of the roads in THP. It is hoped and expected that actual costs will be lower than budgeted.
Pool and surrounds maintenance is budgeted at 276 kbt, and power at 250 kbt.

6. Election of Committee for 2019:
Current Committee members had agreed to stand again to serve in 2019. An invitation for candidates for Committee membership was sent out in early December. There were no new candidates forthcoming, so the existing members are automatically elected for 2019. A unanimous vote from the floor confirmed this. The Committee Members for 2019 are listed in the Chairman’s report for 2018 and will be posted on the Clubhouse notice board.

7. Other Business:
7.1  There were 2 issues raised at last year’s AGM – that of the nuisance caused by feral cats, and the problem of noisy weekend parties. We purchased a cat-trap and collected and relocated 6 feral or stray cats. The owners of the house holding noisy weekend parties was asked to stop, and we shall be resisting the purchase of property on THP solely for the holding of parties. This is a Hua Hin-wide problem.

7.2  Magnus Sjoo (D1) reported that trees outside of THP have grown so high as to foul the power lines coming into THP. it was considered that as the trees are outside THP, we have limited ability to address this problem.

7.3  It was suggested that drains on roads in THP should be treated again for mosquito infestation. This was noted.7.4   Nils Nordkvist (D48) proposed a vote of thanks to the Committee for their continued good work on behalf of THP owners. The Chairman thanked the meeting for their appreciation.

8. Acknowledgements:
There being no other business, the Chairman thanked his Committee colleagues for their support and their good work in the past year. He thanked everybody for attending and closed the meeting.
